Word Processing

Aim: The aim of this unit is to ensure each participant can operate the word processing programme with accuracy:

  • access a word processing system/package Go to Start, Programs, Microsoft Word
  • enter text Type in the text you want to work on
  • edit text by inserting/deleting characters, words, sentences and paragraphs Use the Shortcut Keys - Ctrl + X = Cut, Ctrl + C = Copy, Ctrl + V = Paste.
  • load an existing file Go to File, Open, make sure you're looking in the correct folder
  • format text includes anything to do with the appearance of the text like font size, type (Arial, Times New Roman), colour, whether it's underlined, bold, italics etc. Remember to do any formatting you must highlight the text first.
  • enhance text read format text Tip:
  • edit blocks of text, within the document cut/copy sentences, paragraphs or pages of text within a document.
  • use a spell checker Go to the ABC button on your toolbar
  • save files within the system Go to File, Save as, name the file then save it in the appropriate folder
  • preview a document Go to Print Preview Button to Toolbar (white button with magnifying glass)
  • proof-read a document Compare (word for word) your typed up version of a document with the original you were typing from (where appropriate)
  • make corrections to a document edit text by inserting/deleting characters, words, sentences and paragraphs also cut/copy sentences, paragraphs or pages of text within a document and do spellcheck.
  • print documents Go to File and Print
  • exit from the word processing system using proper procedures. Close all Files saving changes as you go then go to File and Exit to close your word processing application.
  • operate data entry functions using correct technique Using your keyboard correctly (e.g. Shift + A for capital A) and use keyboard for other shortcuts (e.g. Ctrl + A to highlight everything)
  • input data accurately (data includes alpha, numeric and special characters from the keyboard) E.g. Shift + 1 = !   Shift + 2 = "   Shift + 3 = £
  • follow accepted rules for spacing before and after punctuation marks No spaces before comma, semi-colon, colon or full stop.  One space after comma, semi-colon, colon.  Two spaces after full stop.  One return for new line.  Two returns for new paragraph.
  • work with several open documents Use Window button on Toolbar to see list of open files within the same application and click on the file you want to bring to the front.
  • work with tables Go to Table on the Menu bar and Insert Table
  • work with tabs Go to Format, Tabs
  • bullet/number text Use Bullets or Numbers on Toolbar (beside you alignment buttons) or Go to Format, Bullets and Numbering
  • indent paragraphs (normal/firstline/hanging) Highlight relevant paragraph(s) then Go to Format, Paragraph
  • mail merge Go to Tools, Mail Merge
