File Management

Aim: The aim of this unit is to ensure each participant can manage and organise files effectively

  • start up a computer properly Press the Power or On/Off button on your PC and wait until Windows has fully loaded up, it will stop on the Windows Desktop…
  • copy a file within a folder/directory click on the file once, go to copy button on your toolbar then paste.  If the original file is called "Monday", Windows Explorer will automatically name the copy "Copy of Monday".
  • copy a file to another folder/directory click on the file once, go to copy button on your toolbar then click on the folder you want to copy the file to then paste.
  • copy a file to a floppy disk click on the file once, go to copy button on your toolbar then click on 31/2 floppy and paste.
  • rename a file Select the file (click on it once) then go to File, Rename
  • delete a file Select the file (click on it once) then press delete on your keyboard
  • move a file from one folder/directory to another click on the file once, go to cut button on your toolbar then click on the folder you want to move the file to then paste.
  • create a folder/directory, sub folder/directory To create a new folder on the C drive click on your C drive, Go to File, New, Folder and type in the name of the folder.  To create a sub folder of a folder always remember to select the main folder first.
  • delete/remove a folder/directory Select the folder (click on it once) then press delete on your keyboard (this will also delete the contents of any folder)
  • locate a file in a sub folder/directory Select the folder on the left side of your screen(this will open it).  The contents of the folder will be displayed on the right side of your screen.  You can arrange the files in various ways to help you find a file more easily.  To do this go to View, Arrange Icons and select one of the options.
  • state the number of files in a folder/directory Select the folder on the left side of your screen(this will open it).  The contents of the folder will be displayed on the right side of your screen.  Click the properties button on your Toolbar and read the screen.
  • state the size of a file Select the folder on the left side of your screen(this will open it).  The contents of the file will be displayed on the right side of your screen.  You can read the Name, Type, Size and Date/time a file was created or last modified.
  • state the date/time a file was created or last modified Select the folder on the left side of your screen(this will open it).  The contents of the folder will be displayed on the right side of your screen.  You can read the Name, Type, Size and Date/time a file was created or last modified.
  • copy a floppy disk The easiest way to do this is to copy the contents of your floppy disk into a folder on your C drive then copy it back to a different floppy disk.
  • format a floppy disk Insert disk into A drive.  In Windows Explorer select 31/2 floppy with right mouse button.  On the short cut menu choose Format and follow screen.
  • shut down a computer properly Close all files, close all applications then Start Shutdown.
